HubSpot Email Automation: Why Real Workflows Start at $800/Month — Part 1

When HubSpot describes its Starter plan, it mentions “simple automation.” That phrase is doing a lot of work. Simple automation means one trigger, a linear sequence of up to 10 actions, and no branching logic. For most businesses that actually want to automate customer engagement — not just send a single welcome email — this is not enough.

The full workflow builder, with multi-step journeys, conditional branching, and cross-object logic, is locked to HubSpot Marketing Hub Professional at $800/month. Here are the five capabilities that disappear the moment you try to build anything beyond basic.

1. Multi-Branch Conditional Logic

Real customer journeys do not follow a straight line. A customer who opens your email needs a different follow-up than one who ignores it. A contact who visits your pricing page is at a different point in their journey than one who downloaded a brochure three weeks ago.

HubSpot Starter cannot branch. Every contact goes through the same linear sequence regardless of what they do. Conditional logic — “if they clicked, go here; if they didn’t, go here” — is a Professional feature exclusively.

Without it, your automation is not personalised. It is scheduled.

2. Delays and Wait Steps Based on Behaviour

On Starter, you can insert a time-based delay (“wait 3 days then send email 2”). What you cannot do is insert a behaviour-based wait: “wait until the contact visits the product page, then trigger the next step.”

This distinction is significant. Behaviour-based triggers mean your automation responds to what a customer actually does — not to a fixed calendar you set at the start. Every meaningful customer journey relies on this.

3. Internal Notifications and Task Creation

Professional-tier workflows can notify sales team members, create tasks, and trigger CRM updates automatically when a customer takes a specific action. A contact reaching a score threshold notifies a sales rep. A complaint form submission creates a customer service task.

On Starter, these internal coordination actions do not exist. Your team still needs to manually check records and act on signals the platform can see but cannot communicate.

4. Unenrolment and Goal Tracking

With HubSpot Workflows (Professional), you can set a goal for a sequence. When a contact achieves that goal — books a demo, makes a purchase, responds to a message — they automatically exit the workflow. No more nurturing a customer who already converted.

On Starter, sequences run to completion regardless of what happens. Contacts who have already purchased continue receiving “consideration stage” emails. Contacts who have already converted are still being pushed to convert.

5. Multi-Object Workflows

HubSpot Starter automation operates on Contacts only. Professional Workflows can also trigger on Companies, Deals, Tickets, and Custom Objects — meaning you can automate actions across the entire customer relationship, not just email outreach.

For B2C businesses managing purchase history, loyalty tiers, and service interactions alongside marketing, the limitation to Contacts-only automation is a fundamental constraint.

These five limitations are not edge cases. They are the core of what makes automation useful. Without them, you are not automating customer engagement — you are scheduling emails.
