Building a Student Data Platform: First-Party Data from Inquiry to Graduation

Building a Student Data Platform: First-Party Data from Inquiry to Graduation

A university managing 20,000 students typically has that student population’s data fragmented across 8–15 different systems: an admissions CRM, a student information system, an LMS, a financial management platform, a wellbeing case management tool, a library system, a careers platform, a halls management system, and several department-level spreadsheets.

Each system knows one thing about the student. None of them know everything. The admissions CRM knows how the student was recruited. The student information system knows their grades. The LMS knows their engagement with online learning. The wellbeing system knows they attended three counselling sessions in October. The library system knows they haven’t accessed it since November. None of these systems talk to each other.

The result: the student facing the highest dropout risk in the institution is invisible to the retention system because no single system has the full picture. The student most likely to respond to a scholarship appeal is invisible to the development team because the financial aid system and the alumni communication system are not connected.

A student data platform solves this by creating a unified profile that aggregates all data sources into a single contact record — accessible in real time, updated automatically, and actionable through connected communication channels.

The Data Sources to Unify

Pre-enrollment data:

  • Enquiry source (which channel, which campaign, which event)
  • Enquiry date and response timeline
  • Open day attendance
  • Application completion timeline
  • Scholarship applications
  • Acceptance decision and response

Enrollment data:

  • Programme, year of entry, intake cohort
  • Accommodation type and location
  • Financial aid status and amount
  • International/domestic classification
  • Entry qualifications

Academic engagement data:

  • Module enrolment and completion
  • Assessment grades and trajectory
  • Attendance records (lectures, seminars, tutorials)
  • LMS login frequency and activity
  • Library access and resource usage

Campus life data:

  • Sports and extracurricular activity
  • Student union membership
  • Campus facility usage (gym, cafeteria, common areas)
  • Peer network indicators (where available)

Financial data:

  • Fee payment status
  • Hardship fund applications
  • Bursary and scholarship disbursement
  • Part-time employment status (if disclosed)

Communication data:

  • WhatsApp message history and response rates
  • Email open and click rates
  • SMS receipt and reply history
  • Support team interaction log

Student profile completeness vs. intervention success rate:

Data sources unifiedDropout prediction accuracyIntervention success rate
Academic only54–62%41–52%
Academic + attendance67–73%52–61%
Academic + attendance + financial74–80%61–70%
Academic + attendance + financial + communication82–88%68–77%
All sources (full unified profile)87–93%74–83%

Each additional data source improves both prediction accuracy and intervention success. The full unified profile represents a 70% improvement in dropout prediction over academic data alone — and a 60% improvement in the effectiveness of retention interventions.

The Technical Architecture

A student data platform does not require replacing existing systems. It sits as an integration layer above them:

Data connectors: APIs connecting each existing system to the central platform. The admissions CRM, SIS, LMS, and financial platform all push updates to the student data platform via webhook or scheduled sync.

Identity resolution: When the same student appears across multiple systems (often with slightly different name spellings, different email addresses, or different student IDs), the platform resolves these to a single canonical profile using name + date of birth + student number matching.

Real-time event streaming: High-priority signals (a student fails an assessment, a fee payment bounces, a student logs a wellbeing concern) fire in real time to the unified profile and can trigger immediate communication workflows.

Communication layer: The unified profile connects to the WhatsApp Business API, email platform, and SMS gateway — enabling all communication channels to access the same complete student profile.

GDPR and Data Governance

A student data platform aggregates sensitive personal data — academic performance, financial status, health and wellbeing information. This requires a clear data governance framework:

  • A lawful basis for each data processing activity (typically contractual necessity for academic records, legitimate interest for engagement analytics, explicit consent for marketing communications)
  • A data retention policy that specifies how long each category of data is held after a student leaves
  • Access controls limiting which staff can see which data categories (academic staff should not see financial hardship data; admissions staff should not see counselling records)
  • A student-facing privacy notice that clearly explains what data is held and why

The GDPR compliance overhead of a student data platform is manageable — most universities are already data controllers for this information. The platform changes how the data is stored and accessed, not whether the institution holds it.
